Underwriting Decision

After an application is submitted, an underwriter reviews it and makes a decision. LAMS provides four decision paths: issue a formal quote letter, request additional information from the producer, refer the application to underwriting management, or issue a decline letter. All decisions are logged in the audit trail for compliance and review purposes.

  • The application must be in Submitted or Pending UW status.
  • You must have the Underwriter role to issue decisions.
  • Review the full application, attachments, and any prior history for this insured.

  1. Open the application from New Business > Applications or by searching for the application number.
  2. Click the Underwriting tab on the policy record.
  3. Review all application sections: insured information, coverage requests, underwriting questions, and attachments.

  1. In the Underwriting tab, set the Decision Status to Quoted.
  2. Confirm or adjust the quoted premium if necessary.
  3. Add any special conditions or endorsement requirements in the notes field.
  4. Click Generate Quote Letter.
  5. Preview the quote letter — it populates with the coverage terms and expiration date.
  6. Click Send to Producer to email the quote, or Download to send manually.

The quote letter includes a validity period (typically 30 days). Once issued, the application moves to Quoted status and the producer is notified.

  1. Set the Decision Status to Additional Info Requested.
  2. In the Notes field, list the specific items you need (e.g., “Please provide last 5 years of loss history” or “Client resume required”).
  3. Click Send Request.
  4. The producer receives an email notification with your notes.
  5. The application status updates to Pending Producer Response.

  1. Set the Decision Status to Referred to Management.
  2. Select a Referral Reason from the dropdown (e.g., large firm, prior claims, unusual risk).
  3. Enter detailed referral notes explaining the specific concerns.
  4. Click Submit Referral.
  5. The application appears in the UW Manager’s queue for review.

The referring underwriter retains visibility of the application and is notified when the manager makes a decision.

  1. Set the Decision Status to Declined.
  2. Select the primary Decline Reason from the dropdown:
    • Prior claims or losses
    • Outside appetite
    • Adverse loss history
    • Professional conduct issues
    • Other (specify in notes)
  3. Add any specific notes for the file.
  4. Click Generate Decline Letter.
  5. Preview the decline letter — it references the general reason without exposing proprietary underwriting criteria.
  6. Click Send to Producer or Download.

Every decision, status change, and communication is automatically recorded in the Activity Log tab on the application. The log shows:

  • Timestamp and user who made the decision
  • Previous and new status
  • Notes entered
  • Documents generated or sent

The audit trail cannot be modified and is available for compliance review.
