Renewal Tracking

The renewals workflow begins approximately 90 days before a policy expires. LAMS tracks each policy’s renewal status, sends solicitation emails to producers, and routes responses back into the underwriting workflow. This page covers how to monitor and act on renewals.

Navigate to Renewals > Renewal Tracking to see all policies currently in the renewal cycle.

Key columns to watch:

ColumnWhat to look for
Expiration DateSort ascending to prioritize the soonest-expiring policies
Solicitation SentConfirm that the first solicitation email went out
Producer ResponseBlank = no response yet, needs follow-up
Renewal StatusSee where each policy is in the renewal cycle
  1. LAMS identifies policies expiring in the next 90 days.
  2. A renewal solicitation email is sent automatically to the assigned producer.
  3. Follow-up solicitations are sent if there is no response.
  4. When the producer submits a renewal, the application is created in LAMS and processed through the standard underwriting workflow.
  5. Once rated and bound, the renewal policy receives a new policy number and moves to In Force.

Solicitation emails are sent automatically by the system on a continuous schedule. You do not need to send them manually unless a specific producer requests a resend.

To view or resend a solicitation:

  1. Open the policy from the Renewal Tracking table.
  2. Navigate to the Email History tab.
  3. Click Resend next to the solicitation you want to resend.

When a producer confirms they are renewing:

  1. Open the policy in Renewal Tracking.
  2. Click Create Renewal Application.
  3. The system copies the current policy data into a new application.
  4. Review and update any information that has changed.
  5. Process through the standard workflow: rate → quote → bind → pay → issue.

If a policy will not be renewed, see Non-Renewal for instructions on how to close out the policy and generate the required notice.
