Admin Approval Queue
Overview
Section titled “Overview”Some actions in LAMS cannot proceed without explicit administrator approval. These are typically actions that carry financial risk, deviate from standard guidelines, or affect system configuration. When a user initiates one of these actions, the system automatically routes it to the Admin Approval Queue instead of completing it immediately. An administrator reviews the request and either approves it (the action proceeds) or rejects it (the user is notified with a reason).
What Requires Admin Approval

| System configuration change | Affects all users; should be audited |
| Batch posting (if supervisor required) | Control for general ledger integrity |
| User role elevation request | Security — adding elevated permissions |
Thresholds and specific rules are configured by your administrator. If you are unsure whether an action requires approval, check with your supervisor.
Accessing the Admin Approval Queue

- Navigate to Queues > Admin Approval Queue.
- The queue is only accessible to users with the Administrator or Supervisor role.
- Items are sorted by priority and submission date.
Queue Priority Levels
Section titled “Queue Priority Levels”| Priority | Color | Meaning |

| Urgent | Red | Time-sensitive; effective date is within 24 hours |
| High | Orange | Should be reviewed today |
| Normal | No highlight | Standard review timeline |
| Low | Grey | Non-time-sensitive; review when capacity allows |
Priority is assigned automatically based on the action type and any time sensitivity (e.g., a policy effective tomorrow is Urgent, a commission rate override with no effective date is Normal).
Processing an Approval Request

- Click the request row to open the detail view.
- Review the Request Details:
- What action is being requested
- Who submitted the request and when
- What record it applies to (policy, producer, system setting)
- The specific values or changes involved
- Review any notes the submitting user provided to explain the request.
- If additional context is needed, click Request More Info to send a message to the submitting user.
- Make your decision:
- Approve — the action proceeds immediately.
- Reject — the action is blocked and the user is notified.
Approving a Request
Section titled “Approving a Request”- Click Approve.
- Optionally enter an approval note (recommended for audit purposes).
- Click Confirm Approval.
- The system executes the action and sends a notification to the submitting user.
- The item moves to the Completed section of the queue.

Rejecting a Request
Section titled “Rejecting a Request”- Click Reject.
- Select a Rejection Reason from the dropdown.
- Enter detailed notes explaining why the request cannot be approved and what the user should do instead.
- Click Confirm Rejection.
- The submitting user receives an email notification with the rejection reason and your notes.
Delegation Rules
Section titled “Delegation Rules”If the primary administrator is unavailable, approval authority can be delegated:
- Delegated approvers appear in the queue with a “Delegated” indicator.
- Delegation is set up by your system administrator in Administration > System Configuration > Approval Delegation.
- Delegation does not remove the original approver’s access — both can review items during the delegation period.
Completed and Historical Approvals
Section titled “Completed and Historical Approvals”To review past approval decisions:
- Navigate to Queues > Admin Approval Queue.
- Click the Completed tab.
- Use date range and action type filters to find historical approvals.
- Click any completed item to view the full detail, decision, notes, and timeline.
All approval decisions are retained permanently and cannot be edited, providing a complete audit trail.
